AI for Business · Custom-built workflows

AI that works your way. Not the other way around.

From reading emails and extracting document data to approvals and follow-ups, we build AI-native workflows around your operations. As your business changes, your workflows can too—with bespoke source code you own.

When the work no longer fits the software.

A new service. Different pricing. Another approval step. When your software cannot adapt, spreadsheets and manual work fill the gaps. We build the parts your business actually needs, and connect what already works.

Built around your operations

Quotations, purchasing, order tracking, supplier coordination and approvals shaped around your business—not a fixed template.

AI inside the workflow

Not an off-the-shelf ERP with a chat window. AI reads incoming information, prepares records and coordinates the next action, with explicit rules and human approvals.

Change without starting again

Extend workflows as services, teams and business rules change. Keep useful existing systems rather than replacing everything at once.

From incoming information to work moving forward.

Scan documents, read emails and prepare the next action inside your business system. Less copying between tools. More control over exceptions and approvals.

Illustrative workflow · Not a client case study

A purchase order arrives. The system gets to work.

  1. Read the email and attachment

Identify the request and extract the customer, product codes, quantities and requested dates.

  2. Match and validate

Match existing records, check required fields and detect possible duplicate orders.

  3. Prepare the order

Create a draft record. Flag unknown products, price discrepancies and missing information.

  4. Review the exceptions

Staff approve material changes and resolve ambiguous details before the order proceeds.

  5. Move the work forward

Send an approved acknowledgement, assign fulfilment tasks and keep the source document attached.

Documents become structured information.

  • Scanned PDFs, receipts and forms
  • Field extraction and record matching
  • Required-field and duplicate checks
  • Draft records with source references
  • An exception queue for uncertain results

An inbox becomes a coordinated workflow.

  • Read and classify incoming enquiries
  • Match customers, orders and requests
  • Route messages to the right team
  • Create tasks and draft replies
  • Send only explicitly approved low-risk responses

Automation with clear limits.

AI interprets

Use AI for varied document layouts and natural-language messages—not as the final authority on prices or business policy.

Rules validate

Use explicit checks, access controls and duplicate protection before making changes to business records.

People decide

Escalate ambiguity and consequential actions. Keep a manual route available when processing fails.

Emails and attachments are untrusted input. Instructions embedded inside them must not authorise data disclosure, change system permissions or redirect outbound messages.

Private AI deployment

Sensitive work. On your terms.

Choose where your documents are processed, which models can access them and what information can leave your environment. Local AI is a deployment decision—not a compliance shortcut.

On-premises

Run selected models and document processing inside your controlled infrastructure. Assess hardware, capacity, updates and operational responsibility before deployment.

Customer-controlled cloud

Deploy in your cloud account with defined identity, network, storage and access controls. Remote hosting still requires a clear data-handling policy.

Hybrid

Keep sensitive tasks within the approved environment. Route only explicitly permitted workloads to external models, with no silent cloud fallback.

The whole data path matters.

A local language model is only one component. We map the complete workflow so a document does not unexpectedly leave through a different service.

  • Document intake and OCR
  • Embeddings and search indexes
  • Model execution and tool access
  • Application logs and monitoring
  • Backups and retention
  • Email and third-party integrations
Private by architecture. Accountable in operation.

Minimum necessary access

Separate read, draft and write permissions. Restrict users and automated tasks to the records they need.

Evaluated with your documents

Compare extraction quality, language handling, latency and operating cost using representative, authorised samples.

Defined operating responsibilities

Agree who handles backups, patching, monitoring and incident response. Keep recovery and maintenance procedures documented.

Clear compliance boundaries

Design around your documented privacy and compliance requirements, with your legal or compliance team where needed. No blanket compliance guarantee.

Ownership means more than a login.

Handover is part of the engagement, not an afterthought. Your team should be able to operate the system and appoint another developer to maintain it.

Your repository

Bespoke application code and workflow definitions in a client-controlled repository.

Your data

Database schemas, migrations and documented data export procedures.

Your deployment

Deployment configuration, operating instructions and client-controlled infrastructure accounts.

Your freedom

Prompts, configuration and evaluation examples, with third-party licences clearly identified.

Start focused. Build what matters.

  1. Understand the work

Map one real process, its exceptions, the systems involved and the cost of doing it manually.

  2. Build a working slice

Connect a small number of systems and validate the workflow with your staff before extending it.

  3. Improve with the business

Review usage, errors and changing priorities. Agree the next set of improvements together.

A continuing development partnership

Your next chapter. Your own system.

AI-native, custom-built workflows, developed and improved as your operations evolve.

  • Workflow discovery and custom development
  • Integration with your existing tools
  • Maintenance and ongoing improvements
  • Handover of your bespoke source code
From

HK$10,000/ month

Start with one core workflow. Agree priorities, scope and deliverables together each month.

Book a workflow assessment

Hardware, hosting, model API usage and third-party licences are charged separately. Complex migrations, full system rebuilds and local AI deployment are assessed separately.

Final scope, delivery schedule and ownership terms are agreed in writing. Third-party components remain subject to their original licences.

Before we start

Do we need to replace our entire ERP?

No. We can replace one inflexible workflow, build around existing software or plan a phased migration. Accounting, inventory and other dependable systems can remain in place.

What do we own?

The bespoke code and project deliverables specified in our agreement. Frameworks, model weights and third-party tools retain their respective licences. Ownership does not remove hardware, hosting or maintenance costs.

Does the monthly price include unlimited development?

No. The starting plan focuses on one core workflow, with priorities and deliverables agreed each month. Major migrations, complex rebuilds and private deployment require separate assessment.

Can another developer take over?

The handover is designed to support that: source code, deployment instructions, configuration and data export documentation. Access and responsibilities are agreed with your team.
